Buchalter APC, a full-service business law firm, has an immediate opening for a Legal Administrative Assistant based in our Orange County office.
The Legal Administrative Assistant plays a vital role within our Corporate practice group, providing comprehensive administrative and organizational support to ensure the efficient and effective functioning of the team. This position assists with document management, client and internal communications, scheduling, and research, enabling attorneys to focus on strategic legal matters. The role demands a detail-oriented, proactive individual who can handle sensitive information with discretion and prioritize deadlines.
Essential Functions
- Document Preparation and Management: Consistently drafts, edits, and formats legal documents, correspondence, and other written materials. Maintains organization of physical and digital records, ensuring quick accessibility and compliance with confidentiality policies.
- Calendar and Schedule Coordination: Manages complex calendars for attorneys including scheduling client meetings and court dates with proactive adjustments for conflicts and priority changes.
- Client and Team Communication: Serves as the initial contact point for clients and internal teams, relaying messages accurately, handling routine inquiries, and providing professional responses or escalating as needed.
- Travel Planning and Coordination: Plans and confirms travel arrangements for attorneys ensuring all travel documents and itineraries are completed and updated prior to travel.
- Research and Data Compilation: Conducts preliminary legal research and gathers necessary documents or case materials, creating summaries, indexes, and informational packets to support legal proceedings and case preparation.
- Financial and Expense Processing: Prepares, submits, and tracks invoices, reimbursements, and expense reports in alignment with the Firm’s financial protocols.
Required Skills and Qualifications
- Education: High School Diploma or equivalent is required. Bachelor’s degree is a plus.
- Experience: 5+ years of administrative experience in a legal or corporate environment, preferably supporting a legal department.
- Language Requirement: Proficiency in English and Mandarin (speaking, reading and writing) is required to effectively communicate with clients.
- Technical Skills:

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with legal document management software, such as iManage.
- Familiarity with legal terminology, processes, and protocols.
Work Environment
- This position is hybrid offering four remote workdays per month. Ideally, the candidate will work physically onsite 5 days per week in the Orange County office.
- The office environment is professional, collaborative, and focused on supporting high-stakes legal work in a law firm.
- Overtime may be required on an as-needed basis to support time-sensitive legal matters or meet critical deadlines.

Pay Scale: The reasonably expected pay scale for this position is $75,000 to $85,000 per year. This is an employer estimate and the salary offered within that range, and the potential for bonus and bonus amount, will depend on candidate’s years of practice, experience and performance.
